DOCUMENTATION / PRACTICAL GUIDE

What belongs in a daily job record?

A good record helps someone who wasn’t there understand the day. Keep it specific, connected to the job and easy to find.

  1. The job and the date. Identify the project, location and day so the record has an unambiguous home.
  2. The people and hours. Note who worked, what hours are recorded and any exceptions that need review.
  3. The work completed. Describe the activity and where it happened. “Installed framing in units 1–3” is more useful than “worked on framing”.
  4. Changes and instructions. Record what changed, who gave the instruction and where the supporting written information can be found.
  5. Photos with context. Connect a photo to the area and activity it shows. Include a short explanation of why it matters.
  6. What needs follow-up. Separate completed work from open questions, issues and the next action.

Make it part of the working day.

Write the report while the detail is fresh. Keep factual observations separate from assumptions, and make it clear when something still needs confirmation.

A daily record is one part of the project’s documentation. It does not replace contract-specific notices, approvals or required forms.
