Put the job first.
Use the same project name or job reference across the schedule, reports, photos and conversations. A consistent reference helps people connect the records.
Separate the record from the next action.
“The crew completed the eastern wall framing” records progress. “The revised opening dimension needs confirmation before tomorrow” creates a follow-up. Include both when both matter.
Keep the supporting detail close.
When an update refers to a photo, instruction or change, include its reference. The office should be able to trace the context without searching through unrelated messages.
Close the loop.
Give open items an owner. When an item is resolved, record the outcome with the original context so the history remains understandable.
